Workflow Automation Build Sprint — $7,500

AdvanceAPractice studies the manual work, builds one safe supported automation, tests exceptions and duplicate prevention, deploys it once, and gives your administrator a monitoring view and operating guide.

The Problem This Solves

Stop repeating the same workaround

Staff repeatedly copy information, reconcile lists, monitor spreadsheets, send reminders, or check several systems to determine what needs attention.

We do not stop with a report. We trace where the breakdown starts, implement the corrections included in this package, test the improved process with your team, and leave clear ownership and monitoring behind.

Tangible Deliverables

What will be in your hands when we finish

AdvanceAPractice builds one bounded administrative automation with visible exceptions, safe human approvals, monitoring, documentation, and a manual backup process.

A visual workflow map

We create a step-by-step visual map of the improved process—what happens, who owns each step, which system they use, when it is due, and what happens when something goes wrong. It includes the trigger, handoffs, exceptions, and completion point.

A working tracker or system view

A client-ready visual workspace showing every active item, its status, owner, next action, due date, missing information, risk flag, and last update. It is configured for the included workflow; it is not a generic blank spreadsheet.

Operating instructions your team can use

A plain-language, step-by-step operating guide with screenshots, decision points, exceptions, and escalation instructions. You also receive a one-page guide showing who performs each task, who approves it, who needs an update, and who steps in when it becomes overdue.

A tested and supported process

Your staff tests realistic examples before launch and confirms that the corrected process works as expected. For 30 days after launch, AdvanceAPractice monitors the included work, corrects defects in what AdvanceAPractice built, and completes one stabilization review. New features or expanded workflows are separate scope.

Custom workflows may live inside your supported EHR, Microsoft 365 and Azure environment, Google Workspace or Google Cloud environment, or another customer-controlled system named in the Order Form. Command Suite is AdvanceAPractice’s hosted application and is identified separately.

A Concrete Example

Example: daily appointment and authorization update

This is what an improved workflow means: each step names the owner, system, timing, exception route, and evidence that the work is complete.

A staff member exports a file, compares it with a worklist, updates several columns, sends reminders, and may not notice a duplicate or failed row.

An approved feed is checked, matched, and updated automatically. Anything uncertain stays in a visible human-review queue, and the administrator receives a daily summary.

  1. Approved feed received

    Supported connector or structured file
    Timing
    Scheduled run
    If something goes wrong
Invalid or missing files stop safely and alert the administrator.
  2. Records validated and de-duplicated

    If something goes wrong
Potential duplicates are held for review instead of overwritten.
  3. Existing worklist matched

    If something goes wrong
Unmatched records enter the exception queue with a reason.
  4. Status and next action updated

    Owner
Automation with human approval where required
    System
    Operational tracker
    Timing
    During the run
    If something goes wrong
Expired authorization or scheduling conflict is assigned to a person.
  5. Daily summary delivered

    Timing
    After the run
    If something goes wrong
Failed and unresolved items remain visible until a person closes them.

A Defined Improvement Sprint

Workflow Automation Build Sprint

Staff repeatedly copy information, reconcile lists, monitor spreadsheets, send reminders, or check several systems to learn what needs attention.

Fixed package$7,500Six to eight weeks after complete onboarding and access, excluding third-party vendor approval delays.

What fits inside this package

  • One clearly defined administrative workflow with one trigger and one final business outcome
  • Up to two supported source systems and one destination
  • One location or business unit
  • Up to 2,500 workflow transactions per month
  • One test environment or approved synthetic-data test process
  • Two consolidated staff-testing correction rounds and one production deployment
  • One administrator training session and a 30-day stabilization period

What AdvanceAPractice will fix or build

  • Map the current manual process and the corrected automated process in plain language.
  • Build the agreed workflow with supported APIs, OAuth, webhooks, SFTP, approved connectors, or structured export and import.
  • Add duplicate prevention, bounded retries, audit events, a visible exception queue, alerts, and a manual fallback.
  • Configure a monitoring tracker showing processed items, failures, owners, next actions, and the last successful update.
  • Test realistic scenarios, deploy once, train the administrator, and provide operating and recovery instructions.

What is not included

  • CAPTCHA, MFA, or security-control bypass; unsupported portal scraping; or shared credentials
  • Clinical decisions, automated attestations or signatures, or financial transfers without human approval
  • New vendor APIs, historical data migration, custom patient-facing applications, or enterprise integrations
  • Hosting, ongoing maintenance, 24/7 monitoring, or an organization-wide HIPAA risk analysis
  • Any production build when the required systems lack a safe, supported integration path

What we need from your team

  • Provide customer-owned accounts, required vendor approvals, and a named administrator.
  • Use the approved secure onboarding environment for authorized operational data and records.
  • Complete staff testing and written approval before production deployment.

When work starts: Work begins within three business days after your selected month starts, once we have the required information, documents, and access. Payment alone does not start the clock.

Thirty-day warranty: AdvanceAPractice corrects defects in the included work and completes one stabilization review. New requests, additional workflows, expanded volume, customer-made changes, and payer or vendor changes are separate scope.

From Purchase to a Working Improvement

You receive more than a report

AdvanceAPractice identifies why the problem repeats, implements the corrections included in your package, tests them with your team, and leaves practical tools and instructions behind.

  1. Choose and pay

Select the package that matches one defined problem and complete secure checkout.

  2. Complete secure onboarding

Provide the requested business information, documents, system details, and authorized access through AdvanceAPractice’s secure onboarding process.

  3. Receive Ready to Begin confirmation

AdvanceAPractice confirms that the required intake is complete. The three-business-day work-start clock begins at this point—not when payment is made.

  4. Trace the recurring problem

An experienced healthcare operations expert follows the work from its trigger through handoffs, systems, delays, exceptions, and completion to find why the current workaround has not held.

  5. Review the correction plan

You see the proposed steps, owners, system changes, testing method, and any work that falls outside the purchased limits before implementation proceeds.

  6. AdvanceAPractice implements the included fixes

AdvanceAPractice configures or builds the agreed changes, tracker, workflow, instructions, and safeguards that fit the package.

  7. Your team tests realistic examples

The people who perform the work confirm that the corrected process behaves as expected. AdvanceAPractice completes the included correction rounds and training.

  8. Launch and stabilize

AdvanceAPractice confirms launch, provides the finished operating materials, and supports included defects through the 30-day stabilization period.

Plain-Language Answers

What the package terms actually mean

What is an improved or “future-state” workflow?

It is a step-by-step visual map of how the work will run after the fixes. It shows what starts the process, who owns each step, which system they use, when the step is due, what happens when information is missing, who receives an alert, and what confirms completion.

Do you only tell us what is wrong?

No. The initial review identifies the cause, and AdvanceAPractice then performs the process, configuration, tracker, documentation, testing, and training work included in the published package limits.

What happens if the problem is larger than the package?

We complete the corrections that fit inside the purchased limits and show you the additional need separately. Nothing outside the package begins and no added charge occurs unless you approve a written expansion scope.

What does the 30-day warranty cover?

For 30 days after launch, AdvanceAPractice corrects defects in the configuration, automation, documentation, or workflow AdvanceAPractice implemented and completes one stabilization review. New features, new workflows, vendor changes, payer changes, and customer-made changes are separate scope.

Is the delivery time guaranteed?

The delivery window begins after onboarding and required access are complete. It pauses when customer information, testing, vendor access, payer responses, or third-party approvals are unavailable. AdvanceAPractice does not guarantee payer, vendor, financial, or clinical outcomes.
