How we handle business information, website measurement, and client records.

Last updated: October 15, 2026

This website is for practice owners and professionals. Please don’t send patient records, Social Security numbers, passwords, or payment details through public forms or Concierge chat. Client records belong in the secure channels agreed for your engagement.

Information We Collect

AdvanceAPractice LLC is based in Portland, Oregon. This notice covers our website, inquiries, checkout, Concierge chat, and business information used in the AdvanceAPractice Command Suite.

We collect the information you provide, such as your name, business contact details, practice and provider information, service selections, messages, onboarding documents, and signed agreements. We also receive order and payment-status records. Stripe handles card and bank-account details through its payment pages.

How We Use And Share Information

We use information to answer questions, prepare quotes and agreements, provide purchased services, manage payments, maintain business records, and protect and improve our services. We don’t sell or rent your personal information or share it with third parties for their own marketing.

Information is processed by services we use for website hosting and forms, payment processing, email, scheduling, document storage, electronic signatures, and the Command Suite. These include Hostinger, WordPress and WPForms, Stripe, Google Analytics, and Microsoft Clarity. We may also disclose information when required by law or to protect against fraud or misuse.

Concierge uses AI to answer service questions. Messages may be processed by our AI service provider and retained so we can review the conversation and follow up. Use it for business questions, and email us if you prefer to speak with a person.

Cookies And Website Measurement

We use cookies and browser storage for functions such as remembering privacy choices, maintaining sessions, and supporting checkout. Google Analytics measures page visits, interactions, device information, referral sources, and approximate location.

With your optional analytics consent, we also use Microsoft Clarity to understand clicks, scrolling and where visitors get stuck. Clarity records masked page interactions on public pages. All text is masked, including form entries. We exclude checkout and contact pages, stop recording when you begin using a form, and keep advertising storage off. Microsoft processes this usage data under its Privacy Statement. Decline optional analytics in Privacy Settings to keep Clarity off.

Use Privacy Settings at the bottom of the site to accept or decline optional analytics cookies. Regional defaults vary; where prior consent is required, analytics cookies wait for your choice. Google may receive limited measurement signals without analytics cookies. Our Google Analytics collection is disabled when your browser sends a Global Privacy Control signal.

We also keep a separate website-usage log of page paths, referral sources, device categories, and a daily visitor token. The token is derived from an IP address and browser information to estimate daily visitors; those raw values aren’t stored in that log. This measurement runs independently of the analytics-cookie choice. Hosting and security services may keep their own technical logs.

Client Records And Retention

Client confidentiality and any handling of protected health information are governed by the applicable Client Services Agreement and Business Associate Agreement. This website notice doesn’t replace those agreements or authorize patient information in public forms.

We retain information for the time needed to provide services, maintain required business and accounting records, resolve disputes, and meet legal obligations. Deletion requests may be limited by these duties. Access is limited to people and service providers who need it for the work.

Your Choices And Contact

Email hello@advanceapractice.com to request access to, correction of, or deletion of your information, or to stop marketing email. We may verify your identity before releasing or changing records. Additional rights, including a copy of your data or an appeal of a denied request, depend on applicable law.

Other websites linked from this site have their own privacy practices. We update the date above when this notice changes. For payments, refunds, and work-start conditions, see our Payment And Service Terms.
