Command Suite Subscription
Subscription Terms
These terms cover renting the AdvanceAPractice Command Suite as a monthly subscription. They are written to be read, not to hide things.
Last updated: July 22, 2026. These terms apply only to the Command Suite monthly subscription. Credentialing, billing, and other service engagements are governed by their own signed Order Form and Services Agreement.
1. What You’re Subscribing To
The AAP Command Suite is a practice-operations command center: revenue-cycle and claims visibility, credentialing tracking, tasks and projects, operational meetings, documents and e-signature, and dashboards. It layers on top of the EHR, clearinghouse, and practice-management systems you already run.
It is not an EHR or EMR. It does not provide clinical charting, patient scheduling, e-prescribing, telehealth, or a patient portal, and it is not a system of record for clinical documentation. You keep your existing EHR; nothing here replaces it.
2. Price and Billing
- $99 per practice, per month — a flat fee, not per user.
- Includes up to 10 named user accounts. Larger teams are quoted separately in writing.
- Billed monthly in advance by card through Stripe, and renews automatically each month until cancelled.
- Prices may change with at least 30 days’ written notice, effective at your next renewal. You may cancel before it takes effect.
- Fees do not include any applicable taxes.
3. Cancelling
You can cancel at any time — this is month-to-month, with no term commitment and no cancellation fee. Cancellation takes effect at the end of the monthly period you have already paid for, and you keep full access until then.
We do not pro-rate or refund partial months. If we cancel or discontinue the service, we refund the unused portion of the period you paid for.
4. If a Payment Fails
We do not lock practices out of their own operations. If a payment fails:
- You keep full access for 14 days while the card is retried, and we tell you.
- After that window, the workspace becomes read-only — you can still view and export everything; you just can’t create or change records until the balance is settled.
- Your data is never deleted for non-payment, and export stays available the entire time.
5. Your Data
Your data is yours. You can export it at any time while your subscription is active or read-only. After cancellation we keep your workspace recoverable for 30 days so you can export or reactivate, then permanently delete it. If you want it deleted sooner, ask and we will.
6. HIPAA and the BAA
A Business Associate Agreement is signed as part of onboarding and governs any protected health information. The Command Suite is designed to handle operational and revenue data — patient identifiers attached to claims and credentialing records — and not clinical documentation. You are responsible for not placing clinical records into it, and for managing your own users’ access.
7. Acceptable Use
Accounts are for people at your practice — don’t share logins between individuals, exceed your licensed user count, or resell or provide the service to another organization. We may suspend access for activity that threatens the security or integrity of the platform, and we’ll tell you why.
8. Availability
This subscription does not carry a service-level agreement. We run the platform on managed, redundant infrastructure with daily backups and we work quickly on problems, but we do not commit to a guaranteed uptime percentage, and we may take the service down for maintenance. The service is provided “as is,” without warranties beyond those that cannot be disclaimed by law.
9. Limitation of Liability
To the fullest extent permitted by law, neither party is liable for indirect, incidental, or consequential damages, or for lost profits or lost revenue. Our total liability for any claim relating to the subscription is limited to the subscription fees you paid in the three months before the claim. Nothing here limits liability for fraud, willful misconduct, or anything else that cannot be limited by law.
The Command Suite provides visibility into your operations. It does not submit claims to payers, make coding or clinical decisions for you, or control how quickly payers act, and it is not a substitute for your own professional judgment.
10. Changes to These Terms
We may update these terms with at least 30 days’ notice by email to your billing contact. Continuing to use the service after that means you accept the update; if you don’t, cancel before it takes effect.
11. Governing Law
These terms are governed by the laws of the State of Oregon, without regard to conflict-of-laws rules, and any dispute will be brought in the state or federal courts located in Multnomah County, Oregon.
