Spravato Program Scheduler

We built this scheduler for one practice’s Spravato program. It runs inside the Microsoft 365 the practice pays for, pulls the EHR schedule every 30 minutes and shows each visit’s authorization, units left and how it gets paid. The recordings below use no real patient data.

Opening A Visit

The EHR calendar only knew which room was open. In the scheduler, every visit is colored by how it’s paid for, and opening one shows where its authorization stands, when it ends and a warning when units run low. The rail beside the calendar names any visit that can’t be treated as ready, and why.

Running On Its Own

Every 30 minutes an automated export pulls the schedule from the EHR. It pulls two windows, because the EHR caps one export at 60 days, and merges about 90 days. The file lands in SharePoint, gets checked and logged, and the scheduler shows when it last synced. An authorization nearing its end date flags itself, with nobody touching it.

Issues And Requests From Inside The Scheduler

Staff report a problem from a panel inside the scheduler. It shows as open while we’re notified, and once it’s fixed and marked complete it moves to Completed, so nobody has to chase an email thread.

What It Runs On

  • A SharePoint web part in the practice’s own Microsoft 365, so nothing moved to an outside platform.
  • Power Automate on a schedule, with the export running on a hosted machine in the practice’s Microsoft cloud instead of an office computer.
  • A freshness watchdog that checks how old the data is, because a run can report success and still deliver nothing.
  • 737 automated checks that pass before any release reaches staff.
