The Setup, Step by Step

Whether you’re launching, adding a payer, or cleaning up a setup someone else half-finished, this is the sequence we run — in your accounts, under your NPI and tax ID.

  1. Map what you have. Payers, EHR/PM, clearinghouse, and the bank account payments should land in.
  2. Build or rebuild your payer portals. Availity, Office Ally, and payer-direct portals, set up under the correct entity with backup access (not one staff member’s personal login).
  3. Enroll electronic payments per payer. EDI (837 claims), ERA (835 remittances), and EFT (deposits) for each payer, routed through your clearinghouse of record.
  4. Connect or migrate your EHR + clearinghouse. We verify payer IDs and claim routing so claims actually reach the payer — through Office Ally, Claim.MD, TriZetto, or your EHR’s built-in clearinghouse.
  5. Set up rejection + denial routing. So a rejected claim lands in a queue with an owner instead of disappearing.
  6. Stand up your benefits-verification workflow. Eligibility, MH/psych benefits, copay/deductible/coinsurance, and prior-auth flags — a repeatable process, not a scramble.
  7. Test it live. We push real claims and confirm remits post back correctly before we call it done.
  8. Clean handoff. Documented access and a short closeout. You own every account.

What’s the difference between this and credentialing?

Credentialing gets you approved on a payer’s panel. This gets the electronic connections working once you’re approved — portals, EDI/ERA/EFT, and your EHR-to-clearinghouse link — so claims go out and payments come back. Many practices need both; if you do, we scope them together.

Can you work with my EHR, or do I have to switch?

We work with any EHR or practice-management system — SimplePractice, TherapyNotes, Tebra, AdvancedMD, athenahealth, IntakeQ, PracticeQ, Valant, and more. We build around what you already use. No forced switch.

How is it priced?

EFT/ERA/EDI enrollment is $150–$300 per payer connection. EHR/clearinghouse connection and migration is scoped to your systems with a fixed quote before any work starts. You can pay in full or split it with no interest.

Do I own the accounts when you’re done?

Always. Everything is set up in your own name, under your entity, with your logins. We hand off documented access and you own all of it.
